1. What we collect
When you make an account
Your name, email address and password. Passwords are stored hashed — we cannot read yours, and neither can our staff.
When you buy a course
What you bought, when, and the reference the payment provider gives us. We never receive your card, wallet PIN or bank login. Those go directly to eSewa or FonePay and never touch our servers.
When you become a consultancy client
Considerably more, because an application needs it:
- full name, date of birth, gender, nationality;
- passport number and expiry date;
- contact details and address;
- your education history, grades, test scores and any gaps;
- work experience and training;
- details of the family member or sponsor funding your study;
- any previous visas and any previous refusals.
Automatically
Your network address, the device and browser you use, and which pages you opened. We keep a record of the devices signed in to your account so you can see them and sign out ones you do not recognise.
2. Why we collect it
To do the things you asked us to do: give you access to a course you bought, prepare and submit an application on your behalf, answer your questions, and issue a certificate when you finish. To keep your account secure, and to meet our own legal and accounting obligations.
We do not sell your information, and we do not share it for advertising. Nobody buys a list of prospective students from us.
3. Your application documents
The document vault holds the files an application actually requires. In practice that means your citizenship or national ID, your passport bio page, your SEE, Grade 12 and degree transcripts, IELTS or PTE score reports, work experience letters, your birth certificate, and financial evidence including a bank balance certificate and your sponsor's tax audit.
These are among the most sensitive documents you own. They are stored so that only signed-in staff working on your file can open them, each upload records who added it and when, and a counsellor marks a document verified only after a person has actually checked it.
We ask for a document when an application needs it. If you are unsure why something is being requested, ask before you upload it — that is a reasonable question and you should get a straight answer.
5. What the AI tools send
The SOP writer, the CV builder, the AI counsellor and the mock interview all work by sending text to an AI model run by another company — currently Groq and Google (Gemini). This is the part of the platform where your information most clearly leaves our systems, so it is worth being exact about it.
What gets sent is the text needed to do the task: the details you type into the tool, and relevant parts of your profile such as your course, destination and academic background. Your uploaded documents are not sent to these providers.
Those providers process the request under their own terms and privacy policies. If you would rather no part of your information reached them, do not use the AI tools — every one of them is optional, and a counsellor can do the same work with you directly.
6. Cookies and tracking
We use cookies to keep you signed in, to remember your cart, and to protect forms against cross-site request forgery. These are necessary for the site to work; without them you could not stay logged in.
There are no advertising trackers, no analytics tags and no third-party marketing pixels on this site. We do not run Google Analytics, we do not use a tag manager, and we do not track you across other websites. This is unusual enough that it is worth stating plainly.
We do load fonts from Google and a few small libraries from public code networks, which means those companies can see the network address of your browser when a page loads. They receive no account information, and we send them nothing about you.
7. Video and the watermark
Course video is delivered by Bunny, a content delivery network. When you watch a lesson, your network address is displayed on the video itself as a moving watermark.
This is deliberate and we would rather you heard it here than noticed it and wondered. It exists so that a recording of a paid lesson that appears elsewhere can be traced to the account it came from. It is visible only to you while you watch.
8. How long we keep it
Your account and course records stay while your account is open, because you may return to a course or need a certificate reissued.
Application files and their documents are kept while your application is live and for a period afterwards, because an admission or a visa can be queried, appealed or reopened long after it was decided, and because we have accounting obligations for the fees involved. When a file is no longer needed for either reason, its documents are deleted.
If you want your documents removed sooner than that, ask us. Where we are not required to keep something, we will delete it and tell you what was deleted.
9. Your choices
You can ask us to:
- tell you what we hold about you;
- correct anything that is wrong — and please do, because an application built on a wrong date of birth or a mistyped passport number causes real problems;
- give you a copy of your documents;
- delete information we are not obliged to keep;
- close your account.
Email us from the address on your account and we will respond. There is no charge for asking.
You can also see and end your own signed-in sessions from your account, without asking anyone.
10. How we protect it
The site is served over an encrypted connection. Passwords are hashed. Staff pages require a staff account, documents require a signed-in session, and the student portal shows you only your own record. Changes to a student file record who made them.
No system is perfectly secure, and we will not claim otherwise. What we will do is tell you promptly if something happens that affects your information, rather than hope you do not find out.
11. Under-18 applicants
Some of our students are still at school when they first come to us. Where an applicant is under 18, we expect a parent or guardian to be involved in the engagement and in decisions about what is shared, and we will deal with them as well as with the student.
12. Changes and contact
If we change this policy we will update the date at the top of the page, and where a change materially affects how we use information we already hold, we will tell you rather than rely on you re-reading this page.
